Downing-Frye (@dnfr.net) Initial User Instructions
Please click here to PRINT this User Manual (It will print to about 13 pages)
ANNOUNCING ... everyone@dnfr.net   and   http://www.dnfr.net   are both now operational !!

Congratulations!  You are a recipient of the first official communiqué sent through the new Downing-Frye Realty E-mail System.  How do you know it is a DNFR communication?  Look at the Subject field in the e-mail.  The [DNFR] at the start denotes that fact and it is that notation that you will see in each e-mail subject field sent through the dnfr.net network.

Many of us have the same common problem when it comes to new software ... we don't take the time to read instructions.  Many of us do NOT read instructions because we think we don't have time.  In this case, that is not an acceptable excuse.  Read it ... it is that simple.

I request that you PRINT this page and keep it for future reference.  The Print settings for this document are 3/4" (0.75) all the way around and "Portrait" orientation. It can make a difference in how your printed copy comes out. You can check and adjust your settings under "Page Setup" or "Print Setup". See the graphic to the right on where to find this under the "File" menu. Your system may vary slightly.

Most of you won't print this page ... and then when you have a question,  you will either contact Sean Hayes, our system designer or Larry Halpin.  By providing these very simple instructions, we wish to avoid that time constraint.  The system has been designed with Simplicity being the utmost objective.  If you can't figure out how to use this system, .... It's unusual but I don't know what to say  !!

Our objectives have been met.  The dnfr.net system:

1. Provides an exceptionally inexpensive means of communication within the Downing-Frye office network that everyone can use.
2. Can be used by anyone regardless of their regular ISP (Internet Service Provider, such as AOL, comcast, earthlink, etc.)
2. Does not require any downloading of Rosters.
3. Provides a means of anti-virus protection.  However, (WARNING) do not be lulled into complacency !  The anti-virus protection within the system is not a guarantee. Neither Downing-Frye Realty, Larry Halpin nor Sean Hayes / Metal Software Inc. can be held responsible should there be a virus that gets through the anti-virus system.  Each agent should have their own anti-virus protection software installed on their hard drive  and it is highly recommended that this virus protection software should include what is called a Firewall.  This software can be purchased in any location which is marketing computers and computer software and is well worth the nominal expense.
4.  Provides an easy access means whereby each agent in the system can update their own primary e-mail e-mail address.  The Roster is only as current as YOU keep it.  Garbage in ... garbage out, as they say.
5.  Provides a means for those agents keeping separate 'group' addresses to access the system and obtain recaps of changes.  The system will keep a special record of changes going back thirty (30) days.
6.  Provides a means for any agent in the system to print the current Roster by clicking on the Print option within the system.
7.  Provides a means whereby 'outsiders' sending mail to a dnfr.net address will be blocked.  As the adage goes, 'Read my ... Instructions ... No Junk Mail Will Get Through!'
8.  Provides a system for broadcast e-mail which will print only the recipient's name on the e-mail at the receiving end.  The other hundred names will not be shown.  This is, in essence, what is termed a blind copy.
9.  Provides a system whereby anyone can give out the roster to anyone they want to ... (WHAT  !) ... and it will be of no value to anyone outside the system because if an outsider sends e-mail to 'Everyone' or 'Anyone' ... @dnfr.net, their e-mail will be blocked because the sender is not on the list.
10.  There is no software to purchase or install.

In order to make the system work, each Realtor in the system will be assigned a dnfr.net e-mail address.  This is completely separate from your primary address.  However, this does not affect your primary address which you use now on any marketing visuals.  There are no changes to be made and it is business as usual.  Mike Hughes' official office address will be  mhughes@dnfr.net.  If there are two people with the same first initial and last name, we will make minor changes.

Instructions on sending 'broadcast' e-mail to DNFR Realtors in the system.

1.  If you have received this Email, you are in the system.  You can use the dnfr.net system for broadcast communication without having to 'enter' the system.  It is a given that everyone is going to want to TEST the system.  Let's use some common sense.  If everyone tests the system, 'everyone' is not going to be happy.  So to satisfy your curiosity, I would strongly recommend you input TEST EMAIL in the subject field along with some sort of personal identification so that when you see that Email, you will know it is from you.  Everyone else can simply delete the message and not have to open it.  Let's not test everyone's patience at the outset.  Again, to test the system, input TEST E-MAIL and some sort of personal ID in the subject field. An alternative and better recommendation is to just send the Email to yourself. Use your first initial and your last name ... @dnfr.net For Example: lhalpin@dnfr.net
2.  If you remember nothing else, remember this.  Address all broadcast Email to     everyone@dnfr.net   ..... input your subject and your message and click on Send.  The e-mail will go to the central server where it will translate everyone to all agents in the DNFR E-mail Roster and forward that Email to your primary e-mail basket.

There are two ways to send Email through the DNFR system: (1) everyone@dnfr.net and (2) with only a couple exceptions, to send out Email to individual agents, use the agents first initial + last name ... LHalpin@dnfr.net. The system does not distinguish between upper or lower cases.

*** ROSTER ***

Roster

Please take careful note.  To insure the integrity of the system, when you download a copy of the Roster, the only columns which will print will be the Agent Name and their dnfr.net Email address.  The Agent's primary e-mail address will not print to your format.  In this way, anyone can share the list with the world but the only people who can send e-mail to Agents on the Roster ... are Agents who are already on the Roster.  If someone keeps a separate 'group' in their own address book, they can use the dnfr.net address and even though it is mixed in with addresses outside the system.  In short, if you are keeping separate Group address in your Address Book, the addresses can be mixed.

*** HELP ***

Contains questions which we feel will be the most commonly asked questions.  As we gain experience with the dnfr.net network, we will expand the Help section. Here are the first few tips including ones about attachments and receiving e-mail.

        Q: What is an ISP?
A: Sometimes you will see us mention the term "ISP". This refers to your "Internet Service Provider", which is the company that you use/pay for connecting to the Internet. Some common ISP's are AOL, MSN, Sprint, Verizon, Road Runner, Comcast and Earthlink. We use "ISP Email" and "Home Email" interchangeably. Note to the technical: Some users may use a free Email service such as Yahoo Mail or Hotmail as their main Email account. Although these are not true ISP's, we will still call it your Home/ISP Email.

Q: How do I change my password?
A: Click the link "Change Password" on the left side of the screen upon signing-in. You will be prompted to provide your existing password once. Then provide your new password twice. Once you click "Update Password" your new password will be saved for all future log ins.

Q: How do I change the Email address that my @dnfr.net address goes to?
A: On the left side of the screen upon signing-in click "Update Profile" and change your "Home Email" to your new Home/ISP Email address. Then click "Update Profile".

Q: Who may I contact for help?
A: For fastest service, use the "Contact Admin" feature on the left side of the screen upon signing-in. Also, you may send Email to: admin@dnfr.net. You may also contact Larry Halpin / DNFR at 513-1414 / LHalpin@larryhalpin.com

Q: Where are my attachments?
A: If your Email contains the following "The attachment named: "file-name" is nn bytes (NN.nn KB) and was removed, but may be accessed at this Internet Web site address or "URL":..." then you should click on or copy and paste the Internet Web site address or "URL" into the address box in your browser. The URL will be similar to this: http://www.dnfr.net/mail_attachments/2834099023849823.etc...

Q: Help! I received the following message in an Email: "SECURITY WARNING: This e-mail has been altered..."
A: The following file types can execute viruses and other malicious code. Therefore, this system will not allow the following file types/extensions to be sent: ade, adp, app, asd, asf, asx, bas, bat, chm, cmd, com, cpl, crt, dll, exe, fxp, hlp, hta, hto, inf, ini, ins, isp, jse, lib, lnk, mdb, mde, msc, msi, msp, mst, ocx, pcd, pif, prg, reg, scr, sct, sh, shb, shs, sys, url, vb, vbe, vbs, vcs, vxd, wmd, wms, wmz, wsc, wsf, wsh.

Q: Help! My DNFR message came back with a message "A known virus was discovered and deleted..."
A: We advise you to check your computer for viruses. We recommend the latest versions of the following anti-virus software:
Norton AntiVirus: http://www.symantec.com/avcenter/
McAfee VirusScan: http://www.mcafee.com/anti-virus/
BE SURE TO UPDATE YOUR ANTI-VIRUS SOFTWARE WITH THE LATEST VIRUS DEFINITIONS.

Q: Why is "SPAM SCORE: n (*****)" in the subject line of the Email I received?
A: The mail server runs filters to try and identify SPAM. If you receive messages like this that are not SPAM, notify us at "Contact Admin" on the left side of the screen upon signing-in. The server will not accept Email messages that score over a certain amount to help protect you from excessive junk Email. Note: Also, the server will only accept e-mail from those on the DNFR roster list. The next Q&A pertains to this.

Q: Why am I getting this error: "It is forbidden for you to e-mail the DNFR internal Email system"?
A: You need to update your Home/ISP Email address in the system to reflect the one you are using in your Email program (Outlook, Eudora, AOL, HotMail, etc.). To do so, look on the upper left side of this page and click "Update Profile". Then change your "Home Email" to your new Home/ISP Email address. Then click "Update Profile".

Q: What is this message I get about "see-note-below.txt"?
A: Depending on your mail client settings (Eudora,Outlook,Hotmail, etc.) You may see a message similar to the below. It is not an error or problem, it just notes that your Email client does not handle in line/integrated attachments. The real message will follow this:
Content-Type: text/plain; name="see-note-below.txt"
Content-Disposition: inline; filename="see-note-below.txt"
Content-Transfer-Encoding: 7bit
MIME-Version: 1.0
X-Mailer: MIME-tools 5.411 (Entity 5.404)
